Kids Center is a collaborative, multidisciplinary non-profit outpatient therapy center serving children up to 21 years of age. Our team provides exceptional occupational, speech, physical therapy, and specialized services to more than 1,000 children annually across two Louisville campuses.
THE OPPORTUNITY
The Family Connection Services Specialist serves as a key access point for families, supporting a welcoming, organized, and efficient experience from first contact through ongoing care, including supporting resource and respite access in our Family Connection Centers. This role integrates front office operations, pieces of intake coordination, and therapy/program support to ensure families are connected to services, resources, and care teams in a seamless and compassionate manner. The position collaborates closely with clinical, program services, and administrative teams to remove barriers to support families in access to high-quality services.
JOB RESPONSIBILITIES
Front Office & Family Experience
-Serve as the first point of contact for clients, families, visitors, board members, and community partners
-Greet, check in, and announce patients for appointments; provide clear navigation and assistance
-Answer and route phone calls, emails, voicemails, and other inquiries in a professional and welcoming manner
-Proactively maintain a clean, safe, and organized front desk, lobby, and waiting areas
Intake, Scheduling & Information Management
-Support client intake/check-in processes, including gathering and verifying demographic, insurance, and basic medical information
-Assist with scheduling coordination as appropriate
-Provide families with clear information regarding services, policies, and next steps
-Understand the workflow for intake and scheduling to assist families as needed
-Maintain accurate documentation within the electronic medical record system
-Complete billing tasks (process patient payments, add inventory items, print patient ledgers, etc.)
Family Connection & Program Support
-Assist with the day-to-day operation, upkeep, and monitoring of Family Connection Centers
-Address family questions and concerns with empathy, escalating as needed
-Connect families with internal teams (including social work) as appropriate
-Support all program services through administrative and operational assistance as directed
Therapy & Program Services Support
-Maintain clean, organized, and well-prepared therapy and treatment areas
-Assist therapists with session setup, breakdown, materials, and equipment as requested
-Support inventory tracking, supply restocking, and preparation of therapy materials
-Perform clerical and administrative tasks related to program and clinical operations
Administrative & Team Support
-Manage records, mail, deliveries, office supplies, conference room usage, and equipment needs, including printers/copiers
-Assist with data entry, reporting, and operational tracking as needed
-Collaborate with interdisciplinary teams to support smooth clinic operations
-Perform other duties as assigned by supervisor
Requirements
QUALIFICATIONS
Required Qualifications
-High school diploma or equivalent; postsecondary coursework or degree preferred
-Previous experience in a front office, administrative, intake, therapy aide, or customer service role
-Strong communication, organization, and multitasking skills
-Proficiency with Microsoft Office Suite and comfort learning electronic medical record systems
-Ability to work in a fast-paced, family-centered healthcare environment
Preferred Qualifications
-Experience working in a pediatric, healthcare, or interdisciplinary team setting
-Familiarity with intake, scheduling, or medical terminology
-Experience supporting therapy or clinical environments
-Bilingual abilities a plus
