Position Overview:
The Financial Aid Specialist plays a critical role in ensuring Galen students receive accurate, timely financial aid so they can stay focused on their nursing education. In this role, you'll work within a specialized track - verification, withdrawal processing, or aid packaging - while collaborating closely with campus Student Financial Services teams across the college. This is detail-intensive, compliance-driven work that matters directly to students' ability to enroll and persist. If you're organized, accurate, and comfortable working through complex federal aid processes, this role is a strong fit.
What You'll Do
Depending on your area of assignment, your primary responsibilities will fall into one or more of the following tracks.
Verification:
- Review and process ISIRs, perform ISIR corrections, and conduct verification reviews for students across all campuses.
- Communicate with campus Student Financial Services staff regarding missing or additional documentation needed to complete verification.
Withdrawal Processing:
- Perform withdrawal calculations in accordance with federal guidelines and document all related work thoroughly in the system of record.
Aid Packaging:
- Package Title IV financial aid for new students and process repackaging for continuing students.
- Communicate with campus SFS staff and verification specialists to resolve outstanding items that prevent packaging from being completed.
Across all tracks:
- Maintain thorough documentation of all work performed on student accounts including workflows, tasks, activities, and document uploads in the system of record.
- Assign additional documents to student accounts as needed.
- Assist with other financial aid functions as needed and attend training, workshops, and seminars to stay current on federal aid regulations.
What We're Looking For
- Experience in financial aid, higher education administration, or a related field preferred.
- Familiarity with federal financial aid programs and systems including NSLDS, COD, and CPS a plus.
- Associate's or Bachelor's degree preferred - relevant professional experience will be considered in lieu of a degree.
- Proficiency in Microsoft Office including Word, Excel, and Outlook.
- Strong attention to detail and time management skills with the ability to balance multiple priorities accurately.
- Clear communicator who works well across teams and campus locations.
- Must have no history of federal student loan default and must be eligible to access all required Department of Education systems and websites.
