Position Description:
The Campus Recreation and Wellness Department of the Division of Student Affairs is seeking to hire a Facilities Coordinator. The Facilities Coordinator is responsible for the leadership and oversight of the Student Recreation Center (SRC), a 128,000 sf, three-story campus recreational and fitness facility. This position is a critical risk management position that ensures the safe, efficient, and customer-focused operation of the SRC on a daily basis. This position's key responsibilities include ensuring operational adherence to all Campus Recreation and University of Louisville guidelines; managing access control systems that verify entry eligibility of students, faculty, staff, and alumni; and leading the recruitment, training, scheduling, supervision, and evaluation of student facilities staff. The Facilities Coordinator coordinates informal recreation activities and special event usage for Registered Student Organizations (RSOs), Health and Sports Sciences (HSS) classes, sport clubs, ROTC, and intramural sports; and facilitates the set-up and breakdown of classrooms, courts and other facility spaces.
Other responsibilities include providing exceptional customer service and responding to injuries and medical incidents in accordance with the American Heart Association Heartsaver guidelines. This position also facilitates the SRC's daily facility maintenance, cleanliness protocols, and the upkeep of outdoor grounds and surrounding areas. The Facilities Coordinator exercises autonomous decision-making in real-time situations involving facility safety, customer service, and policy enforcement, ensuring smooth operations without direct oversight. The Facilities Coordinator collaborates with the Associate Director, Campus Recreation (Facilities, Operations, and Competitive Sports) to evaluate, implement, and improve facility policies and operational procedures to support a positive and inclusive user experience.
Essential Duties and Responsibilities
- Serves as the shift point of contact for SRC operations, ensuring the safe, secure, and efficient operation of all facility spaces
- Monitors access points, proactively addresses member concerns, and responds accordingly to emergencies in accordance with departmental protocols and risk management procedures
- Enforces all facility policies and University regulations to maintain a welcoming and inclusive environment for all users
- Utilizes autonomous decision making to address emergent issues and operational needs when senior staff are not present or occupied with other responsibilities
- Serves as an on-sight decision-maker to insert safety measures and to mitigate institutional liability and risk
- Leads, mentors, and directly supervises a student staff team of more than 25 employees including recruitment, hiring, onboarding, scheduling, coaching, and evaluating staff performance to ensure a high-functioning and customer-focused team
- Fosters a culture of professionalism, accountability, and collaboration among student employees
- Guides staff using sound judgment and autonomous decision-making to manage conflicts, behavioral issues, and customer service challenges
- Coordinates and manages informal morning recreation activities and special event usage for RSOs, HSS classes, sport clubs, ROTC, and intramural sports
- Ensures timely communication and coordination with internal and external stakeholders to accommodate facility needs while maintaining equitable access for all users
- Acts as a liaison for Campus Recreation, providing timely and accurate information to students, faculty, staff, and guests; supports marketing and outreach efforts by sharing updates related to program offerings, facility hours, and policy changes; serves as a knowledgeable and approachable representative of the department
- Autonomously interprets and communicates policy updates to facility users when appropriate
- Oversees the execution of daily facility upkeep procedures, including cleanliness, maintenance, and sanitizing protocols to meet University standards and promote health and safety
- Conducts routine inspections, documents issues, and communicates with maintenance and custodial staff to address facility needs promptly and effectively
- Assists with the oversight and upkeep of outdoor facility grounds, including walkways, entry points, and adjacent recreation areas
- Collaborates with groundskeeping and maintenance staff to report hazards, ensure cleanliness, and support seasonal preparations for outdoor spaces
- Performs other duties and completes special projects as assigned
Preferred Qualifications
- Five (5) years of experience in facilities management
- Five (5) years of supervision experience
- CPR/AED and BLS certification
Work Hours and Location
This is a full-time, exempt position with a 37.5-hour regular workweek that consistently works afternoon and evening hours, including weekends as required. Additional work hours may be required based on department needs, programming, staffing, and/or scheduling. The primary work location for this position is at the Belknap Campus. Occasional overnight travel (for professional development, industry conferences, student trips, etc.) may be required.
